Working Out of Office: Checklist

Situations may arise where you may need to work away from the office for out-of-area conferences and events of that nature. There are few things to check when taking a laptop on the road to prevent running into issues away from the office.
These items should be checked a day or two in advance. If something does not work properly, this will give IT support a better chance to assist you. Of course not all things are avoidable, but this list can help you be better prepared. For technical assistance, please email support@nescmn.net. See attachments at bottom of page to download a printable checklist. Section 1: Can you log into your laptop? Verify that you can log into your laptop. Simply click on the screen to enter the login page, or press Ctrl+Alt+Delete combination on your keyboard. At the login screen, select the user account you desire to log into, enter the login credentials, then press the Go arrow, or Enter on your keyboard. See the image below for additional login screen details: ![]() Back to top Section 2: Is your battery charging? Verify that your battery is charging. Connect your laptop to a charger. Once logged into the device, click on the battery icon near the date/time on your task bar. Check to see what percentage the battery is at. Leave it charging for a little bit, then check the battery percentage status again. It should be raising while connected to a charger. ![]() Back to top Section 3: Can you connect to a wireless network? Verify network connectivity. Click the WiFi icon on your task bar. If not connected to a network already, make sure the Wi-Fi button is on and highlighted blue, then select the desired network, then click Connect. ![]() Please note that many laptop brands may have an external switch, button, or key/key combination to turn WiFi on and off. If unable to turn WiFi on, check that your laptop does not have WiFi turned off via one these alternatives. Open a web browser such as Google Chrome, Mozilla Firefox, or Microsoft Edge. Navigate to a few different websites to verify internet connectivity. ![]() Back to top Section 5: Are you able to send and receive Emails? Open Outlook. On the bottom blue bar, verify that it shows ALL FOLDERS ARE UP TO DATE. You should also see CONNECTED TO: MICROSOFT EXCHANGE. ![]() If prompted for credentials, follow these instructions to enter the necessary format: Update Outlook Password on Desktop Application [Optional] If extremely concerned about Emailing, you could reach out to a coworker for help. Email a coworker to verify recipients are receiving Emails. Ask the coworker to send a response to verify you are receiving Emails. Back to top Section 6: Are your Barracuda quarantined emails delivered? Verify that you do not have any undelivered Emails that you may need. Navigate to Start Menu > Settings > Updates & Security > Windows Update > Check for Updates ![]() The computer will search for updates, then begin downloading updates. Once all updates are downloaded and installed, you may be prompted to restart your device - Click Restart Now. Back to top Section 8: Are all standard hardware functions working properly? Verify that all standard hardware is working as expected. Examples of items to check for include:
Back to top Section 9: Have you tried logging into your office computer via VMware Horizon Client? If applicable, have you tried logging into your office workstation using VMware Horizon Client software? Note: Only one connection is permitted at a time. If trying at the office, this will disconnect your session from your desktop at your office until you disconnect from your laptop session. To connect to your office workstation from another device (laptop, tablet, or smartphone): Connect to Workstation with VMware Horizon Client Back to top Section 10: Have you created an Automatic Reply/Out-of-Office automatic Email response? If you'll be working out of the office but will not be able to respond to Emails in a timely fashion, you may consider setting up Automatic Replies with a message that you will be out of the office. This is especially helpful to provide alternate contact information if there is another employee that will be assuming your duties while you are out. To learn more about setting Automatic Replies: Create Automatic Replies in Outlook Back to top Section 11: Have you changed your password and connected your laptop to the work network? After changing your password, your laptop needs to be connected to the work wireless network (nesc) in order to update. If you've completed a password change recently and have not brought your laptop in to connect the nesc wireless network at the office, the password change will not be reflected on your laptop. This could potentially cause loss of access to email without connecting to your virtual machine. To learn more about changing your domain password: Change Domain Password on Windows Back to top Section 12: Will your internet connection support functions such as video conferencing or a virtual session? Your internet connection should be stable and strong enough to support internet functions such as connecting to a virtual session through VMware Horizon Client or connecting to a video conference. It is recommended to have a minimum connection speed of 5 Mbps Download and 1 Mbps Upload. There are many sites that can run relatively accurate speed tests. One of the easiest websites to use is www.fast.com as it runs automatically when you load the website.
